Multi-Site Fuel, Convenience Retail and Hotels | Portland, OR | Full-Time | On-Site

Position Summary

Pacific Northwest Petroleum Inc. is seeking an experienced, detail-oriented Accounting & Operations Manager to oversee the daily financial operations of the company. Reporting directly to ownership, this position is accountable for daily sales reconciliation across all locations, payroll and human resources administration, price book and margin management, sales performance reporting, budgeting, operations and overseeing the performance and accounting of the Hotels under the management company and the timely completion of monthly reconciliations and the year-end close. The successful candidate will ensure that discrepancies are identified and resolved in a timely manner and that sound financial controls are maintained to protect the overall financial health of the company.

Key Responsibilities

Responsibilities include, but are not limited to:

  • Direct and oversee all aspects of the finance and accounting operations of the Company.

  • Provide leadership in the development for the continuous evaluation of short and long-term strategic financial objectives including review of store sales reports, cash over/short, lottery, and fuel inventory; ensure all discrepancies receive timely follow-up and resolution.

  • Evaluates and advises on the impact of long-range planning, introduction of new programs/ strategies and regulatory action.

  • Provide advice on the financial implications of business activities.

  • Manage processes for financial forecasting, budgets and consolidation and reporting.

  • Provide recommendations and advice to strategically enhance financial performance and business opportunities.

  • Ensure that effective internal controls are in place and ensure compliance with GAAP and applicable federal, state and local regulatory laws and rules for financial and tax reporting as well as lead the year-end close process, ensuring all reconciliations, adjustments, and supporting schedules are completed accurately and on a timely basis, in coordination with ownership and the company’s external accountants.

  • Oversee the Human Resources function, including review of employee hours and timesheets for accuracy and completeness prior to each pay period.

  • Oversee payroll processing from preparation through completion, ensuring accuracy, compliance, and timeliness of every pay run.

  • Manage and maintain the company price book; review retail prices, costs, and margins across all product categories to ensure no item is sold at an unhealthy margin.

Qualifications

Required:

  • Minimum of three (5) years of experience in accounting, bookkeeping, or business office management, including direct responsibility for reconciliations and payroll.

  • Advanced proficiency in Microsoft Excel, including experience managing detailed, multi-location spreadsheets and reports.

  • Exceptional attention to detail, strong organizational skills, and consistent follow-through.

  • Demonstrated integrity and discretion in handling confidential payroll, personnel, and financial information.

Preferred:

  • Back-office accounting experience within convenience stores, fuel/petroleum, grocery, or other multi-unit retail environments.

  • Working knowledge of QuickBooks, ADP or a comparable payroll platform, and POS back-office / price book systems considered an asset.

  • Supervisory experience preferred.

An equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities will be considered.

Compensation and Benefits

  • Salary: $90,000 – $110,000 annually, depending on experience
