Job Title: Client Accounting & Advisory Specialist

About Apex

Apex is a growing, forward-thinking CPA firm built around the idea that every business owner deserves a clear path forward — and a trusted guide along the climb.

We meet our clients at Basecamp, establishing strong financial foundations through bookkeeping, payroll, and tax compliance. From there, we help them ascend, using proactive tax planning, strategic insight, and advisory support to move confidently toward their Summit — stronger cash flow, smarter decisions, and long-term financial clarity.

Many of our clients do not have internal accounting or finance teams, so Apex serves as their outsourced partner, supporting everything from day-to-day accounting to high-level tax strategy and CFO-style advisory. Our work is not about chasing projects or rushing to deadlines. It’s about building reliable financial systems that allow clients to make better decisions year-round.

We are guided by a strong set of core principles: ownership, integrity, accountability, and pride in our work. At Apex, team members are encouraged to take responsibility for their role on the climb, contribute ideas, and help both our clients and our firm reach their own Apex.

The Opportunity

We are seeking a Client Accounting & Advisory Specialist to own the day-to-day accounting for a portfolio of clients — and to grow into a true financial partner for the businesses they serve, not just a bookkeeper.

This role is the foundation of every client’s climb. Accurate, timely financial data is the backbone of tax planning, financial statements, and the advisory conversations that follow, so the work you do directly shapes the guidance our clients receive all year long. You will maintain clean books, deliver dependable monthly financials, and become the person clients trust to keep their numbers right.

Apex is intentionally building this role in the direction of Client Accounting & Advisory Services (CAS/CAAS) — moving beyond traditional bookkeeping toward proactive, outsourced accounting that helps clients run their businesses better. As you build mastery over your clients’ financials, you’ll take on more — payroll and sales-tax support, month-end close ownership, light advisory, and proactive communication that helps clients understand what their numbers are telling them. Think of it as the first step toward becoming a fractional accountant for the businesses you serve.

You will work closely with our accounting and tax teams, flagging issues early, proposing adjustments, and ensuring financials are clean before they move on to tax strategy and advisory work.

Key Responsibilities

Core Accounting & Bookkeeping

  • Maintain accurate, up-to-date records of client financial transactions

  • Update and maintain clients’ general ledgers across multiple engagements

  • Reconcile clients’ bank accounts, credit cards, and loan balances

  • Calculate interest charges and track client loan and liability balances

  • Identify errors and out-of-the-ordinary transactions, and propose adjusting entries for review

  • Assist with cleanup and catch-up projects to bring client books current

Monthly Close & Financial Reporting

  • Own the month-end close process for assigned clients, start to finish

  • Prepare monthly, quarterly, and annual financial statements

  • Deliver clean, decision-ready financials on a predictable schedule

  • Ensure books are accurate and complete before handoff to the tax and advisory teams

Payroll & Compliance Support

  • Track and process payroll data and related entries

  • Support sales, use, and other periodic tax filings as assigned

  • Help clients stay current and compliant throughout the year, not just at deadlines

Client Partnership & Growth

  • Communicate professionally with clients on documentation requests and accounting matters

  • Proactively flag trends, issues, and opportunities you see in the numbers

  • Grow into a trusted financial point of contact — the first step toward fractional-accountant-level service

  • Help refine Apex’s accounting processes, tools, and checklists as we scale

Qualifications & Skills

  • 1–4 years of bookkeeping or small-business accounting experience

  • Proficiency in QuickBooks Online and QuickBooks Desktop

  • Solid Excel skills — general usage, basic formulas, and data manipulation (VLOOKUPs and PivotTables a plus)

  • Strong understanding of the full bookkeeping cycle through to financial statements

  • Detail-oriented and highly organized, with the ability to manage multiple clients and competing deadlines

  • Clear, professional written and verbal communication skills

  • Strong problem-solving skills and general tech savviness

  • A growth mindset — interest in expanding beyond bookkeeping toward client accounting and advisory work

  • Experience in a public accounting or multi-client environment is a plus

Education & Experience

  • Associate’s or Bachelor’s degree in accounting, finance, or a related field preferred

  • Equivalent bookkeeping experience considered in place of a degree

  • 1–4 years in a bookkeeping or staff accounting role

Compensation & Benefits

  • $60,000 -$85,000 annually, depending on experience

  • Health, dental, and vision insurance

  • Short-Term Disability Insurance

  • Generous PTO & Flex-Time Policies

  • 401(k) with Safe Harbor Profit Sharing

  • Hybrid schedule — based out of our Louisville office (near Breckenridge Lane & Hikes Lane) with remote-work flexibility

Why This Role Matters at Apex

Accurate financials are the foundation of every tax strategy and advisory conversation we provide. As a Client Accounting & Advisory Specialist, you make sure that foundation is solid — and you become the steady hand our clients rely on to keep their businesses on track.

If you take pride in clean books, enjoy being a dependable partner to business owners, and want to grow beyond bookkeeping into a true Client Accounting & Advisory Services (CAS/CAAS) role — this is an opportunity to play a key part in the climb.
