Data & Reporting Analyst

The Data and Reporting Analyst monitors, validates, analyzes, and reports data related to the Child Advocacy Center’s programs, services, clients, and multidisciplinary team activities. This role ensures organizational data are accurate, complete, timely, and meaningful, and uses that information to support program evaluation, quality improvement, strategic decision-making, grant reporting, and communication with MDT partners.

The Data and Reporting Analyst develops routine and specialized reports, dashboards, charts, and data summaries for staff, leadership, and MDT partners. These tools help internal and external audiences understand service activity, trends, community needs, and outcomes.

General Duties and Essential Functions:

Data Management & Quality

  • Implement routine data-quality checks and procedures for accuracy, completeness, consistency, and timeliness.

  • Maintain data dictionaries, definitions, coding standards, data system configuration, testing, updates, and implementation of new data fields or reporting requirements.

  • Monitor data practices for compliance with Center policies and applicable confidentiality and privacy requirements.

Case & Service Tracking

  • Maintain accurate records of children and families served, services provided, and case information requiring follow-up.

  • Prepare and distribute complete, accurate charts to MDT partners promptly.

  • Oversee collection of case outcome data from MDT partners and entry into case management systems.

  • Identify missing, inconsistent, or inaccurate information and work with appropriate staff to resolve discrepancies.

Reporting & Analysis

  • Prepare routine and ad hoc reports for leadership, program staff, the Board of Directors, multidisciplinary teams, funders, and community partners.

  • Analyze service volume, client demographics, referral sources, case outcomes, wait times, service utilization, and other performance measures to identify trends, service gaps, emerging needs, and opportunities for program improvement.

  • Report and communicate findings with leadership.

Grant & Contract Reporting

  • Track, validate, and report data required by federal, state, local, and private funders.

  • Maintain reporting calendars and assist program and grant staff in meeting required reporting deadlines.

  • Maintain documentation necessary to substantiate reported data.

Accreditation, Compliance & Quality Improvement

  • Support data collection and reporting required for CAC accreditation and other regulatory or quality-assurance processes.

  • Assist with preparation for audits, monitoring visits, site reviews, and program evaluations.

Data Security & Confidentiality

  • Follow all applicable confidentiality, privacy, security, and records-management policies, including HIPAA requirements where applicable.

  • Ensure access to data is limited to authorized individuals and appropriate permissions are maintained.

  • Report suspected data breaches, security concerns, or inappropriate access in accordance with organizational policy.

Technical & Administrative Support

  • Serve as a resource to staff regarding data systems, reporting requirements, and data-entry procedures.

  • Create and maintain standardized forms, reports, spreadsheets, and other data-collection tools.

Organizational Support

  • Engage in high-quality, professional practice reflective of the Child Advocacy Center’s policies and procedures, state and federal statutes, accreditation standards, contractual conditions, and established best

  • Participate in team meetings, professional development, and, where appropriate, represent the CAC in task forces and committees.

  • Performs other duties and special projects as assigned by the supervisor or organizational leadership.

Role Boundaries:

This position does not supervise staff, manage daily program operations, conduct performance evaluations or discipline, or make case decisions.

Specific Job Skills:

  • Strong proficiency in Microsoft Excel or similar spreadsheet/database software, including the ability to create formulas, sort and filter data, develop charts, and prepare reports.

  • Ability to develop clear and understandable reports, charts, graphs, and data summaries for leadership, staff, funders, and community/MDT partners.

  • Strong attention to detail and ability to maintain accuracy and consistency when working with confidential information.

  • Ability to manage multiple reporting requirements, deadlines, and projects.

  • Strong written and verbal communication skills, including the ability to explain data to individuals with varying levels of technical knowledge.

  • Ability to maintain strict confidentiality and appropriately handle sensitive client, case, and organizational information.

  • Ability to work collaboratively with staff, leadership, and multidisciplinary partners.

Education/Experience/Training:

  • Bachelor’s degree in a related field; or an Associate’s degree and two years of experience; or four or more years of experience. Experience should involve case file reviews, data management, data analysis, reporting, program evaluation, administrative reporting, or a related field.

  • Demonstrated ability to review, track, organize, analyze, and interpret data and identify trends, discrepancies, and areas requiring follow-up.

  • Preference given to those with experience in child welfare, behavioral health, victim services, healthcare, law enforcement, nonprofit, or other human-services environment.

  • The Child Advocacy Center seeks individuals who are personally and professionally committed to the safety and protection of children.

  • Satisfactory criminal background investigation and a CA/N screening as a condition of employment.

  • Visual acuity necessary to read and develop CAC materials.

  • Ability to lift up to 25 pounds.

  • Willingness to accommodate limited travel and work evenings if necessary.

  • Must acknowledge and adhere to the CAC’s confidentiality policy and procedures and must adhere strictly to the highest professional ethics, confidentiality, discretion, and judgment.

  • Ability to occasionally bend, stoop, reach, or move office materials as needed.

  • Ability to maintain concentration and attention to detail for extended periods while reviewing, analyzing, and interpreting data.

  • Ability to work in an office environment with typical background noise and interruptions.

  • Ability to travel occasionally to other CAC locations, partner agencies, meetings, trainings, or community events, as required.
