With teams in London, Dubai, Abu Dhabi, New York and Hong Kong, we work alongside some of the most prestigious institutions and exciting initiatives across the global cultural landscape.
We are looking for a highly organised, proactive and adaptable Executive Assistant to join our London team on a 12-month fixed-term contract. This is a pivotal role providing high-level support to two Partners, ensuring the smooth running of their day-to-day activities and anticipating their needs in a dynamic, fast-paced environment.
The role is based in our London office Monday to Thursday, with the flexibility to work remotely on Fridays. The ideal candidate will be a confident self-starter who thrives in a creative and collaborative environment, bringing exceptional organisational skills, sound judgement, discretion and a genuine interest in the arts and cultural sector.
About the Role
As an Executive Assistant at Brunswick Arts, you will:
-
Provide comprehensive diary, inbox, and communications management for two Partners.
-
Organise and maintain Partner inboxes and diaries with a clear, structured system, using colour coordination and folders to ensure efficiency and visibility.
-
Prepare daily briefs and materials, ensuring leaders are fully equipped and informed for client meetings, events, and travel.
-
Draft, prioritise, and triage communications on behalf of senior leaders — from client correspondence to internal notes.
-
Manage complex international travel arrangements, including visas, itineraries, and on-the-ground logistics.
-
Coordinate high-profile client dinners, cultural events, and hospitality with creativity and attention to detail.
-
Oversee financial administration including expenses, billing, and budget tracking.
-
Submit and manage timesheets on behalf of the Partners, ensuring timely and accurate completion each week.
-
Serve as a trusted point of contact for clients and their offices, building relationships with professionalism, warmth, and discretion.
-
Ensure the quality and presentation of client-facing deliverables, from proposals to event materials.
-
Conduct research and compile insights to support client engagements and leadership decision-making.
-
Contribute to the continuous improvement of systems and workflows across the team.
What We're Looking For
We’re seeking someone who brings:
-
A genuine interest in the arts, culture and charitable sectors, with an enthusiasm for the work of Brunswick Arts (B’Arts) and the organisations and institutions we support across the global cultural landscape.
-
At least 4 years’ experience supporting senior leaders at Partner, Director or C-suite level, ideally within professional services, consultancy or the creative industries.
-
Exceptional organisational skills and sound judgement, with the ability to manage competing priorities, adapt to changing demands and maintain a high level of accuracy and discretion.
-
Excellent written and verbal communication skills, with a polished, professional and adaptable communication style.
-
Strong proficiency in Microsoft Office, alongside the confidence and willingness to embrace new digital tools and systems.
-
Strong financial administration skills and meticulous attention to detail, with experience managing expenses, invoicing, timesheets and budget tracking.
-
Proven relationship-building skills, with the confidence to engage effectively and establish trust with senior stakeholders, colleagues and clients.
-
A proactive, solutions-focused approach, with the ability to anticipate challenges, exercise initiative and navigate demanding situations with professionalism and diplomacy.
-
A calm composed and adaptable manner, with the ability to anticipate needs, remain one step ahead and deliver consistently under pressure.
-
A collaborative and team-oriented mindset, with a genuine commitment to contributing to a supportive, inclusive and high-performing assistant team.
