Job Summary
The Executive Assistant will provide high-level administrative and operational support to executive management, including calendar and meeting coordination, travel arrangements, executive communications, documentation, and confidential information management. The role requires strong organization, communication, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Based on qualification and experience; housing allowance is dependent on marital status and region, subject to the maximum salary entitlement.

8 hours, Monday to Thursday; half day on Friday

Qualifications & Requirements

Bachelor’s degree in Business Administration, Management, or a related field is preferred; relevant experience may substitute for a degree.

Experience requirements:
0 years with a Bachelor’s degree, 1 year with a Diploma, or 5 years with High School qualification.

Strong organizational skills with the ability to prioritize tasks, manage multiple schedules, meet deadlines, and work effectively under pressure.

Excellent written and verbal communication skills, with the ability to draft professional correspondence and interact confidently with stakeholders at all levels.

Proficiency in
Microsoft Office (Word, Excel, PowerPoint, Outlook)
, calendar management, video conferencing, and other office tools.

Strong attention to detail, confidentiality, professionalism, discretion, problem-solving ability, adaptability, and initiative.
Roles & Responsibilities

Manage executive calendars, schedule meetings and appointments, prioritize conflicting schedules, and coordinate changes with relevant stakeholders.

Arrange and coordinate meetings, including meeting rooms, catering, required materials, video conferences, and technical support; attend meetings, prepare minutes, and follow up on action items.

Manage incoming and outgoing executive communications, including calls, emails, correspondence, and professionally drafted executive-level communications.

Maintain accurate contact lists, databases, distribution lists, records, and executive documentation; prepare and review presentations, reports, and other documents.

Coordinate domestic and international travel, including flights, hotels, transportation, detailed itineraries, travel packs, and related logistics.

Manage executive expenses, receipts, reimbursements, and administrative requirements in line with applicable policies.

Handle sensitive and confidential information with strict discretion, ensuring appropriate document management, access controls, data protection, and compliance.

Conduct research and provide project support; act as a liaison with internal and external stakeholders, coordinate executive participation in events, and support effective communication across teams.
