Role Summary
The Financial Systems Administrator is responsible for supporting the organization’s financial operations, maintaining accurate accounting records, and assisting with the administration and improvement of financial systems. This role executes day-to-day bookkeeping & accounting functions, prepares financial reports, and provides system and administrative support across finance, operations, payroll, and compliance activities. The position contributes to internal projects and process improvements under the direction of management. The role allows for additional areas of positive contribution.
Financial Operations & Bookkeeping
· Perform full-cycle bookkeeping tasks, including accounts payable, accounts receivable, and general ledger maintenance
· Process employee payroll and maintain payroll-related records
· Maintain accurate and organized financial records in accordance with company procedures
· Track and record cash flow activity and maintain supporting documentation
· Prepare regular financial and cash flow reports for management review
Financial Systems Administration (Zoho Books)
· Maintain and support the organization’s Zoho Books accounting system
· Assist in system configuration, data organization, and ongoing system maintenance
· Troubleshoot accounting discrepancies and system-related issues
· Support the correction and restructuring of financial data, including chart of accounts adjustments
· Contribute to improving system workflows and data accuracy
Reporting & Documentation Support
· Compile and organize financial data for internal reporting purposes
· Prepare supporting documentation and reports as requested by management
· Ensure records are complete, structured, and accessible for operational and reporting needs
Project & Process Support
· Support finance-related projects by gathering data, organizing information, and assisting with implementation tasks
· Assist in resolving issues related to accounting data and system setup
· Provide support for compliance and reporting initiatives, including compiling documentation for submissions
· Assist in project financial reviews and debriefs
· Contribute to process improvements under the direction of management
Inventory & Operational Coordination
· Maintain working knowledge of inventory and production systems to support accurate financial recordkeeping
· Assist in ensuring consistency between financial records and operational data
· Support coordination between finance and operations as needed
Payroll, HR & Administrative Support
· Administer payroll processing and recordkeeping
· Track and maintain employee vacation, time-off, and related records
· Assist in managing employee benefits and insurance programs
· Maintain organized employee and administrative documentation
Vendor & Financial Administration
· Maintain vendor records and process supplier payments
· Assist with procurement tracking and financial documentation
· Support administrative coordination related to financial operations
Office Management & Administration
· Maintain supplies and coordination of activities for office environment
· Coordinate with subtrades or landlord regarding site requirements
· Support administrative coordination related to office management
· Support shipping and receiving coordination
· Support Health and Safety policy and implementation
· Other Duties as Required
Job Type: Full time
Job Location: Cobourg Ontario / In Person
Hourly: $28 to $30
Benefits: Competitive benefits included after 3 months
Reporting to: VP Operations
Pay: $28.00-$30.00 per hour
Expected hours: 40.0 per week
