Human Resources Coordinator

Magnetic Seal, LLC. is seeking a detail-oriented HR Coordinator to provide administrative support with recruiting, onboarding, HR compliance, and employee engagement initiatives. This fully onsite role in Warren, Rhode Island is ideal for an HR professional who enjoys collaborating across departments and contributing to a positive workplace culture.

The ideal candidate will have experience supporting recruiting coordination and onboarding processes, maintaining HR documentation, and working with HRIS systems. We are looking for someone who is organized, detail-oriented, reliable, adaptable, and able to effectively manage multiple priorities in a fast-paced, continuously changing environment.

Our Facility in Warren, RI is responsible for engineering and manufacturing some of the world’s most advanced sealing solutions.

Essential Functions

  • Administrative Support:

  • Assists the HR department with administrative duties including managing calls, coordinating meetings, copying, mail, dissemination of communication materials, and maintaining HR communication boards throughout the facility.

  • Responsible for maintaining all employee files.

  • Performs basic data entry and report running.

  • Perform other duties as required including but not limited to assistance with payroll, time keeping assignments, back-up receptionist, and worker’s compensation.

  • Assists with the onboarding process including creating new hire packages and pre-employment screenings.

  • Policy and Benefit Administration:

  • Responds to basic employee inquiries regarding HR policies and procedures.

  • Assists with benefits administration including obtaining supporting documents, invoicing and payroll adjustments, assisting employees with online enrollment, and answering basic benefit inquiries.

  • Coordinates with payroll for pay and deduction related issues.

  • Support the coordination of company sponsored wellness programs.

  • Unemployment, Leave and Employment Exit Administration:

  • Coordinates leave of absences, tracking of time off and points and other related functions.

  • Coordinate exit materials and data entry of termination paperwork.

  • Systems Support and Administration:

  • Assists employees with the use of HR systems such as the Self-Service Portal.

  • Assists with audit preparations including collection of data/documents as requested.

  • Assists in managing HRIS data and interface integrity within compliance including timely and accurate data entry of new hires, terminations, and other changes, as well as running reports and performing necessary audits.

  • Employment Engagement:

  • Administers employee programs.

  • Assists with coordinating employee activities and events.

  • Responsible for protecting and maintaining all Controlled Unclassified Information (CUI) appropriately to prevent unauthorized access, dissemination, or use of this information, documentation, or products; including authorized and proper use of such information in regard to marking, storing, transmitting, and destruction of data.

  • Support all visitors and security policies to protect ITAR/EAR/CMMC/CUI information, documents, products, etc. from unauthorized access by informing management immediately of any concerns.

  • Responsible for the proper handling and management of hazardous waste generated in employee’s work area.

  • Performs other duties as assigned.

  • Regular and acceptable attendance is an essential function of this job.

Required Skills & Qualifications

  • Able to rely on instructions and pre-established guidelines to perform the functions of the job.

  • Organized with emphasis on attention to detail.

  • Proficient in Microsoft Office, including outlook, PPT, word, and excel.

  • Ability to learn and navigate software programs, run reports, and maintain accurate records.

  • Experience with using HRIS software and systems.

  • Ability to multitask and manage multiple priorities timely and efficiently.

  • Strong verbal, written, and interactive communication skills with all levels of employees, management, and business partners.

  • Team oriented.

  • Understanding of confidentiality within the HR department.

  • Ability to read, understand, and communicate internal procedures and policies.

  • Local to the Rhode Island facility.

Required Experience/Education/Training/Certifications

  • High school diploma or equivalent required.

  • Associate or bachelor's degree from an accredited university in business or a related area, or equivalent years of relevant experience preferred.

  • 1-2 years of professional experience in HR, benefits, administration, or related area.

  • Manufacturing environment preferred.

Physical Requirements

  • Able to stand and walk frequently.

  • Able to sit continuously

  • Must be able to bend, squat and kneel occasionally.

  • Must be able to reach outward frequently and reach above shoulder occasionally.

  • Must be able to drive occasionally.

  • Must be able to use fine manipulation continuously.

  • Must be able to lift/carry and push/pull up to 20 lbs. occasionally.

Work Environment And Safety Equipment Required

  • Office environment and light manufacturing environment.

  • Able to work onsite per business needs and per employee’s standard hours.

  • Able to wear required Personal Protective Equipment when required.

  • Able to travel occasionally.

ITAR/EAR Compliance

This position requires access to export-controlled information and/or hardware, and candidates must be U.S. Persons that comply with all U.S. Export control laws and regulation. As such, U.S. citizenship, U.S. lawful permanent resident status, protected person status under 8 U.S.C. 1324b(a)(3), or the ability to meet ITAR and EAR requirements is required.
